Purpose
This article outlines the process for configuring and managing Guest Key access and scheduling within Livly Hub. This functionality enables staff to define specific time parameters for guest key access and manage which doors guests can access.
Scope
This procedure applies to all staff members responsible for managing guest access controls within Livly Hub.
Prerequisites
- Administrative access in Livly Hub
- Guest Management permissions enabled for your account
Account Permission Verification
Before proceeding with guest key scheduling configuration, verify that you have the necessary permissions:
- Navigate to "Manage Staff" in the main dashboard
- Select your account
- Go to the "Permissions" section
- Locate "Guest Management" in the permissions list
- If Guest Management is not enabled:
- Contact a property administrator to enable this permission
- Alternatively, have an administrator make the necessary changes on your behalf
Guest Management Configuration
To configure basic guest management settings:
- From the main dashboard, navigate to "Settings"
- Select the "Guests" tab
- Locate the Guest Management toggle switch
- Enable Guest Management by toggling the switch to "On"
- Configure the following settings:
- Maximum Number of Guests: Set the limit for how many guests each resident can have
- Rules and Regulations: Toggle the requirement for residents to acknowledge rules when adding guests
- Click "Save Changes" in the bottom right corner to apply the new configuration
Note: These settings form the foundation of your guest management system and should be configured before setting up more specific guest access controls.
Guest Door Access Configuration
To configure which doors guests can access:
- From the main dashboard, scroll to "Settings"
- Select the "Guests" tab
- Click on "Guest Key"
- Under "Guest Doors":
- Click to expand the door options
- Select desired common area doors for guest access
- Use the "X" button to remove door access as needed
- Click "Save Changes"
Note: Changes will apply to all new guest keys and will update existing guest keys during their next system synchronization.
Guest Key Hours Configuration
To set specific timeframes for guest key functionality:
- In the Guest Key section, locate "Guest Key Hours"
- Toggle the feature from "Off" to "On"
- Default hours are set to 7:00 AM - 10:00 PM daily
- To customize hours:
- Adjust times for individual days as needed
- Example configuration:
- Weekdays: 7:00 AM - 10:00 PM
- Weekends: 9:00 AM - 9:00 PM
- Click "Save Changes"
- Review the warning message showing affected guest access
- Confirm changes to apply new schedule
Important Notes
- Resident keys maintain 24/7 access regardless of guest hour restrictions
- When guests attempt access outside scheduled hours, they will receive the message: "You are outside of your access hours"
- Residents creating new guest keys will only be able to select times within the configured boundaries
- All scheduling configurations are optional and fully customizable
- Changes can be modified at any time by following the same procedure
